Filling Out Your Activity Tracking Report

The second Activity Tracking Report deadline is quickly approaching and I’m excited to see the progress that you’ve made in your Urgent Hunger Relief projects for Let’s Can Hunger! The second ATR is due no later than February 10th at 11:59 PM CST for all teams in Mexico and the United States. Several teams have had questions about how to properly fill out the ATR.  Here are the guidelines:

 

Obtain a receipt from the organization to which you are donating. If the organization does not have a formal receipt process, please obtain proof of your team’s donation in writing or electronic communication. Should SIFE request it at any time, a team is required to provide proof of the number of items/pounds or dollars collected. This is especially true in the case of donations exceeding 5,000 lbs.

 

Total poundage shall be determined from a 1:1:1 ratio from items to pounds to dollars. For an item to count as “1”, it must weigh 10 oz. or more (the weight of a standard can). In the case of a mass quantity of items weighing less than 10 oz. (i.e. Ramen Noodles, baby food), the poundage of the items shall be counted rather than the number of items (1 lb = 16 oz). A dollar shall count as 1 lb. 13 pesos shall count as 1 USD. 

 

All nonperishable products edible for human consumption will be recognized in the team’s total collection. Items that are listed as ineligible by your local beneficiary may not be included in your total poundage collected. Frozen food may not be included.

 

To help illustrate these guidelines, let me give you an example:

SIFE Team collected 3 cans of Campbell’s Tomato Soup, 3 6.6 oz. bags of Pepperidge Farm Goldfish Crackers and $10 to donate to their local food bank. On their Activity Tracking Report, they reported:

 

Number of Drives Held: 1

Poundage or Items Collected: 4.2*

Funds Collected in Local Currency: 10

 

* 3 Items (three 10 oz. cans) + 1.2 Pounds (three 6.6 oz bags) = 4.2 Total

 

In short, have your local food bank verify the total number of items weighing more than 10 oz. and then the total number of pounds of the remaining donation to accurately report the 1:1:1 ratio.
